Job Overview

The role of the Pre-School Room Leader / Nursery Third in Charge is to provide a high level of professional expertise and leadership to pre-school staff and to ensure that all children receive the highest possible standards of care and education. In addition, this role is to work as a member of the management team in providing professional leadership and management of the nursery and its staff and to support the Nursery Manager in the successful management of the day to day running of the nursery in delivering high quality standards.

Key Responsibilities

  • Adhere to all company policies and procedures and to also ensure these are also adhered to by all nursery staff

  • Ensure appropriate planning and assessment is in place, is accurately maintained by all relevant staff and that challenging learning experiences are available for children to reach their full potential

  • Deploy staff effectively to ensure that regulatory requirements are met at all times

The role is working alongside the current Senior Operations & Management team as well as working closely with nursery managers & room leaders. Key accountabilities include:

Office Administration

  • To be the first point of contact for staff and parent administrative queries or correspondence including organising visits for prospective parents/guardians.
  • To complete the paperwork for the registration of new children including maintaining and updating children’s contact cards to ensure the information is complete & up to date.
  • To help prepare for Ofsted Inspections regarding HR & administrative issues where relevant, including the monitoring of children’s absences on an ongoing basis as Ofsted require.
  • To liaise with the Nursery Director and work collaboratively with the Finance Manager/Administrator and Nursery staff where appropriate.
  • General office administration including photocopying and filing, issuing letters, notices and room information where relevant.
  • To assist the Nursery Manager with marketing the business to both staff and parents via social media and the company website.
  • Have a strong knowledge and ability with IT information and financial systems
  • Have the ability to multi task, be a self starter and work on own initiative
  • Be able to work to and able to meet time critical deadlines

HR Administration

  • First point of contact for staff for HR queries and HR policy/process information
  • To be responsible for the Recruitment & Selection administration at both nursery settings, including pre-employment checks in particular DBS Disclosures, Right to Work, References, Medical & ID checks and issue contracts of employment and job packs under the supervision of Nursery Head/Managers.
  • Continuously improve HR & admin processes and procedures to ensure they are efficient and fit for purpose including the use of Nursery specific software.
  • Maintaining records of staff sickness, holidays, time in lieu and liaising with the Nursery Director regarding payroll changes.
  • Organise new staff induction by collaborating with Nursery managers/H&S co-ordinator and deliver the general HR induction.
  • Manage the appraisal system and ensure probationary/regular reviews are undertaken by appropriate staff.
  • Manage the training & development administration for staff including keeping staff training records up-to-date.
  • Assist with ensuring the nurseries are GDPR compliant and maintain data protection administration.
  • Liaise with agency staff to ensure suitable cover can be found where applicable.
  • Liaise with external groups such as local colleges regarding apprenticeships and placements.
  • Liaise with appointed external HR consultants for support when required.

The successful candidate will have at least 2 years’ experience of HR & office administration. They will be able to demonstrate an ability to prioritise workloads, work under minimal supervision and have sound decision making skills. Of course it goes without saying that they must possess brilliant administrative and organisational skills together with excellent IT skills including MS Office and working with websites/social media.

The administrator will have a clear understanding of the needs for complete confidentiality and act with discretion at all times. They will be presentable and have an excellent telephone manner coupled with good communication & interpersonal skills and the ability to be tactful and diplomatic.

It would be desirable, but not essential, to have experience in either the Childcare/Education sector.

Must be a car driver as will spend some time at another locally based nursery (part of the same company)
